Forms is a lightweight solution that empowers Admins and Users to create, customize, and share Forms easily. The intuitive Form Builder enables Admins to drag-and-drop various elements to construct custom Forms, simplifying the Form creation process. With realtime validation, the accuracy of Forms is ensured as they are being completed, providing immediate feedback to Admins building their portal’s Forms catalogue.

Forms offers flexible response options, allowing respondents to submit forms anonymously or multiple times. Forms are Role-based, giving Admins the ability to control who can submit forms via the “Audience” field. Additionally, Users can be assigned to manage Forms within specific categories or across the entire portal, enhancing organizational efficiency. Form categories are set up to allow for easier access and organization, streamlining the Form management process.

Once a Form is published, its questions or criteria cannot be edited. If edits are necessary, Forms must be expired, then copied and edited accordingly. Each Form is assigned a unique URL that can be added to any page or content for easy access and completion. Form creators can choose to notify Users about available Forms through various notification options, including push notifications and emails. Form Admins can configure how they receive notifications of submissions, although this setting is not available in the general notification settings.

Forms can be published instantly or scheduled for a later date. They can also be set to expire by a specific date, manually, or remain active indefinitely, with the option to extend the expiry date if needed. Each Form comes with its own analytics, these are not displayed in the Analytics menu, however, and Form submissions can be downloaded or exported as CSV files. APIs are available to fetch submissions, providing additional flexibility for data management and integration.

## Enable/Disable Forms

1. Click on **User Options**.
2. Select **Admin Center **from the drop-down menu.
3. Select **System Settings** in the left-hand menu.
4. Click on the **General** tab.
5. Scroll down to Forms, then enable or disable the **Forms enabled** toggle.
6. Click **Save Changes**.

## Manage Forms

In this section, you will learn how to effectively manage Forms by adding, deleting, and copying them, as well as enabling notifications for receiving submissions. Additionally, you will learn how to configure notification settings to receive timely alerts via push notifications, email, or a bell notification whenever a Form is submitted.

### Add a Form

1. Click on **User Options**.
2. Select **Admin Center **from the drop-down menu.
3. Select **Forms** in the left-hand menu.
4. Click on **Add Form** to begin creating a Form.
5. Complete the **Settings** of your new Form.
  - Enabling the *“Allow multiple submissions”* toggle will allow Users to submit the same Form multiple times, but each with their own records and data.
  - Enabling the “Allow anonymous submissions” toggle will allow Users to submit the Form anonymously. Multiple anonymous submissions are permitted.

> ⚠️ Every Form *must* be in a category.

6. Once you are finished filling out your new Form’s Settings, complete your new Form using the **Form Builder**.  
The Form Builder utilizes a drag-and-drop method of adding different components to your Form. These components are:

- **Text Field: **A short, single-line text field for Users to enter variable, text-based answers.

> 📝 The Validation tab in the **Text Field** component includes a data field labeled “*Regular Expression Pattern*.” This is a standard way to validate data through a specified regular expression pattern that is defined by the User building the Form, e.g. ensuring Users enter a valid email address by defining the pattern that a valid email address should contain.

> 📝 This is an advanced configuration option and requires an understanding of RegEx (click [here](https://regexr.com/) to check your RegEx code and/or learn more about RegEx).

- **Text Area: **A larger text field for Users to enter variable, text-based answers. The amount of lines a User can type is configurable.
- **Number: **Configure a number-only text field with auto-thousand separators, required decimals, and more.
- **Checkbox: **A configurable checkbox that can be checked and unchecked.
- **Select Boxes:** Configure multiple selection fields that a User can select.
- **Select: A** configurable drop-down menu so a User can make a selection amongst many options.
- **Radio: **Add a variable amount of radio buttons horizontally or vertically. The radio button values are customizable.
- **Email: **A field to enter, and validate, an email address.
- **URL:** A field to enter, and validate, a URL address.
- **Phone Number:** A field to easily enter a phone number in the correct format (including area codes).
- **Address: **A field to easily enter an address that is validated in real time to ensure accuracy.
- **Date / Time:** A field that allows Users to easily fill out date and time information via a pop-up calendar.
- **Survey:** Add survey information with configurable questions and answers.
- **File Upload:** Answer a Form question by uploading a file, or multiple files, up to 200 MB in size.
- **Content: **Add content fields with basic word processing methods (font size, headings, bold, italic, etc.).
- **Field Set:** It’s like a Form within a Form. A configurable blank space that can direct the User to answer questions in your specified order.

> 📝 Every added field can be edited, moved within the Form, copied, and deleted by hovering over that field and navigating to its upper-right corner.

> 📝 Designate certain Form sections as required by selecting the Required checkbox located in each Form element’s “Validation” section.

7. You can preview your Form while still creating it by selecting **Preview Form**.
  - Select **Reset** to clear the preview form of any inputted entires.
  - Select **Submit** to publish your new Form from the Preview screen.
8. Select **Add Form** when you are complete and want to publish the Form.

> ℹ️ Once published, Forms are discoverable in Global Search.

### Copy a Form

1. Click on **User Options**.
2. Select **Admin Center **from the drop-down menu.
3. Select **Forms** in the left-hand menu.
4. Click on **Make a copy…** on the Form(s) you wish to copy.

### Delete a Form

1. Click on **User Options**.
2. Select **Admin Center **from the drop-down menu.
3. Select **Forms** in the left-hand menu.
4. Click on **Delete Form** on the Form(s) you wish to delete.

> ⚠️ Deleting a Form will permanently delete **ALL** associated data with that Form.

### Enable Notifications for a Form

1. Click on **User Options**.
2. Select **Admin Center **from the drop-down menu.
3. Select **Forms** in the left-hand menu.
4. Click on **Notification Settings** on the Form(s) you wish to manage.
5. Enable the **Enable Notifications** toggle to receive notifications for every submission of this Form.
6. Select **Done**.

> 📝 Users can control what notifications they receive for Forms in the **Notifications** page of their **Account Settings**.

## Manage Form Categories

In this section, you will learn how to add, delete, and edit Form categories, essential for organizing and managing your forms effectively. Discover the steps to create new categories, remove unnecessary ones, and make edits to existing categories to suit your needs. 

> 📝 All Forms **must** be associated with a category to be built and shared.

### Add a Form Category

1. Click on **User Options**.
2. Select **Admin Center **from the drop-down menu.
3. Select **Forms** in the left-hand menu.
4. Click on the **Form Categories** tab.
5. Select **Add Form Category**.
6. Type a name and grant permission to Users and/or Roles for who can manage Forms in this category, specifically.
7. Select **Add**.

### Edit a Form Category

1. Click on **User Options**.
2. Select **Admin Center **from the drop-down menu.
3. Select **Forms** in the left-hand menu.
4. Click on the **Form Categories** tab.
5. Select **Edit Form Category** to edit that category.
6. Once edited, select **Save**.

### Delete a Form Category

1. Click on **User Options**.
2. Select **Admin Center **from the drop-down menu.
3. Select **Forms** in the left-hand menu.
4. Click on the **Form Categories** tab.
5. Select **Delete Form Category** to delete that category.
6. Click **Delete** in the pop-up window.

## Complete a Form - Users

1. Click on **Forms **in the Main Menu.
2. Select the **Available** tab.
3. Expand the category the Form is in, then select it.
4. Complete the Form, then select **Submit**.
  - Users can submit the Form again if multiple submissions was enabled by Admins OR if the User submits it anonymously by selecting **Submit Again**.
  - Users can see their answers and download a CSV of their submitted Form by selecting **View My Answers**.

## Forms Permissions

Viewing and managing Forms and Form categories requires specific Permissions to be granted to the Users and/or Roles Admins wish to grant the ability to view, add, delete, and edit Forms and their associated categories. The related Permissions are as follows:
